A sub-district festival (subjilla kalolsavam, ഉപജില്ല കലോത്സവം) is the first place where a school’s winners meet students from other schools. It usually runs in October and November, after the school-level festivals are over. If you are the coordinator who has to set it up, this guide walks through what a sub-district organising team typically handles: the qualifiers, the item list, judging panels, results, and handing winners up to the district. Each district’s education office announces its own dates and venues, so use this as the planning checklist and confirm the details in your circular.

Where the sub-district sits in the season

The school kalolsavam feeds the sub-district. Only the top A-grade candidates from each item move up, so the sub-district receives a smaller, stronger group than the school level. Who qualifies to enter

Under the 2025–26 guidelines, a candidate advances only with the top score and an A grade. Organisers should expect entries from each school to be limited to these qualifiers, not to every school-level winner. Before the registration deadline, publish the qualification rule and the grade bands so that schools do not plan entries that cannot advance.

The checklist for the organising team

  1. Confirm the circular and the venues. Get the official dates, reporting times and venue for each stage from the education office before you publish anything to schools.
  2. Publish the item list with time limits. Schools need to know which items run, their categories and their limits. Our item list with time limits is a useful reference to check against the circular.
  3. Set up the judging panels. Each item needs a panel and a scoring sheet. Judges should see the criteria before the day. For sample criteria, see the kalolsavam judgement sheet.
  4. Plan the schedule by stage. Group items by venue, allow for changeovers, and publish the stage timetable early so that students and teachers can plan their travel.
  5. Issue chest numbers and check registrations. Every candidate needs a unique number so that results can be matched to the right child and school.
  6. Record scores as they happen. Keep a single set of results per item. Avoid copying scores onto paper and then re-typing them later.
  7. Publish results by item and grade. Schools check results by item, so show the grade and rank beside each name.
  8. Hand the qualifiers up. Send the top A-grade candidates to the district only after results are final, and keep a record of any appeals.
