This policy explains what personal data eTalenter collects, why we collect it, who can see it, and how you can control it. It covers the eTalenter website (etalenter.com), the web app, and the eTalenter apps for Android, iOS and Windows, macOS and Linux. We wrote it in plain words so it is easy to read.
Who we are
eTalenter is software that helps organisers run competitions, festivals, sports days and school events. Organisers create events. Judges, participants and parents use them. For the data in an event, the organiser decides what is collected. eTalenter provides the system that stores it and keeps it safe.
What data we collect
- Account details: your name, email address, mobile number and password (stored in a protected form).
- Event and participant details: information an organiser or participant enters for an event, such as name, date of birth or age group, gender, school or organisation, address, ID numbers the organiser asks for, competition entries, scores, ranks and results.
- Photos and files: photos, logos and documents that you choose to upload.
- Messages and activity: actions you take in the app, such as the pages you use, and messages you send through it.
- Technical data: device type, app version, IP address and error logs. We use this to keep the service working and secure.
We do not collect your precise location. We do not read your contacts. We do not collect payment card numbers in the mobile apps.
How we use your data
- To create your account and let you sign in.
- To run events: registration, schedules, judging, results, certificates and ID cards.
- To send service messages, such as sign-in codes, registration confirmations and result notices.
- To fix problems, keep the service secure and prevent misuse.
- To answer your questions and support requests.
We do not show advertising in our apps. We do not sell your personal data. We do not track you across other apps or websites.
Who we share data with
Inside an event, the organiser, its coordinators and judges can see the data they need to run it. If an organiser publishes results or a public event page, the names and results shown there are visible to anyone with the link.
We also use trusted companies that process data for us and may not use it for any other purpose:
- Cloud hosting and storage (Microsoft Azure).
- Email delivery, to send sign-in codes and event messages.
- A payment provider, on the website only, when an organiser or participant pays an event fee.
- An AI service, only when you use an AI assistant feature. Text you type into that feature is sent to the service to produce an answer.
- Google sign-in, only if you choose to sign in with Google.
We may share data if the law requires it, or to protect the safety and rights of people and of eTalenter.
Children and young participants
Schools and clubs often enter students under 18 into events. The organiser who enters a child’s details is responsible for having permission from the child’s parent or guardian. eTalenter is not made for children to create accounts on their own, and we do not knowingly collect data from children for any other purpose. A parent or guardian can ask us to remove a child’s data at any time using the contact details below.
How long we keep data
We keep account data while your account is active. Event data is kept for as long as the organiser keeps the event. When you delete your account, we delete or anonymise your personal data, except where we must keep some records for legal or security reasons. Backups are removed on a regular schedule.
Your choices and rights
- See and correct your data: sign in and open your profile to update your details.
- Delete your account: in the app or website, go to Profile and choose Delete account. You can also email us and we will do it for you. If you cannot sign in, email us from the address on your account.
- Stop emails: use the unsubscribe link in any non-essential email.
- Other rights: depending on where you live, you may have the right to access, correct, delete, or move your data, or to object to how we use it. Contact us and we will help.
Security
Data is sent over encrypted connections (HTTPS). Passwords are stored in a protected form. Access to systems is limited to people who need it. No system is perfectly safe, so we cannot promise absolute security. If a breach affects you, we will tell you as the law requires.
Where data is stored
Your data may be stored and processed on servers in countries other than your own. We use providers that protect data to a high standard.
Cookies on our website
Our website uses cookies that keep you signed in and remember your settings, and basic analytics to see how the site is used. You can block cookies in your browser settings. The mobile and desktop apps do not use advertising cookies.
Changes to this policy
If we make important changes, we will post the new version here with a new date, and tell you by email or in the app.
