Print blank ID cards for late judges and executives, and cards for any role you name, such as Volunteer or Stage Crew, from eTalenter's Staff Cards page.

On the day of an event, there is always someone without an ID card: a judge who joined late, extra volunteers, the stage crew, the press. eTalenter’s Staff Cards page now prints blank cards for these people, and a Custom role lets you print cards for any role you name — Volunteer, Stage Crew, Press, Medical Team — even when nobody with that role is in the system. You write the name on the card by hand.

What the Staff Cards page prints

Staff Cards uses the same card designer as participant ID cards: the same backgrounds, looks and print layout, with your event’s name, dates and logo on every card. The Role box decides whose cards you print:

  • Judge — a card for every judge in your event, with their name, photo and the word “Judge”.
  • Executive — a card for every executive, with their position (President, Secretary and so on) taken from Users & Roles.
  • Custom (new) — blank cards only, with a role name you type in.

Blank cards for late judges and executives

Next to Role there is a new Blank cards box. With Judge or Executive selected, type how many extra cards you want and eTalenter adds them after the real cards. Each blank card has the event design and the role at the bottom, but no name and an empty photo box, ready to fill in by hand when someone joins on the day.

While you design, the blank cards show at the end of each page of the preview, so you can see how they look. The counter above the cards keeps them separate from your list — for example “Cards 1–1 of 1 + 2 spare” means one real judge and two blank cards. When you print or download, the blank cards come once, after everyone else.

Cards for any role with Custom

Volunteers, stage crew, photographers and the medical team usually do not have accounts in eTalenter, but they still need a card. Choose Custom in the Role box and a Custom role box appears. Type the role name, enter the number of cards in Blank cards, and click Load Profiles. You get that many cards with your role name on them, in the same design as your judges’ and executives’ cards.

Staff Cards options: Role set to Custom, a Custom role box with Volunteer, and Blank cards set to 6
Role: Custom, Custom role: Volunteer, Blank cards: 6.

Need cards for several roles? Print them one after another: Volunteer, then change the name to Stage Crew and print again.

On a phone and on the web

Designing and printing cards is a job for a laptop or a tablet: the card designer needs a screen at least 640 pixels wide, so on a phone you turn it sideways. The blank cards are what help on the day. Keep a few printed blank cards at the help desk, and when a judge or volunteer arrives who is not on your list, write their name on a card and hand it over — nobody has to go back to the computer and print again.

How a coordinator sets it up

  1. Open Print Participants → Staff ID Cards.
  2. Pick a background and a look for the card, the same way as for participant ID cards.
  3. Click Options. Under Filters, choose the Role: Judge, Executive or Custom. If someone is missing, click Add or edit judges (or Add or edit executives) under the Role box — it opens Users & Roles for that role, where you add them.
  4. For Custom, type the role name in Custom role.
  5. Enter the number of extra cards in Blank cards (up to 100). For Judge and Executive this is optional; for Custom it is the number of cards you get.
  6. Click Load Profiles to see the cards, then Print or Download.

eTalenter remembers these choices for your event, so the next time you open Staff Cards they are already filled in.

What it does not do

  • A custom role is not a user role. It does not create accounts or give anyone access to eTalenter — it only prints cards.
  • Blank cards stay blank. eTalenter does not record the names you write on them.
  • Custom cards have no names to fill in automatically. To print named cards, add the people as judges or executives in Users & Roles (use the link under the Role box).

Questions organisers ask

How many blank cards should I print?

A few more than you expect. Late judges and extra volunteers are common, and a spare card costs less than a queue at the help desk.

Why do I see the blank cards on every page of the preview?

So you can check their design while you work on any page. When you print, they appear only once, at the end.

Can a custom role card show a photo?

The photo box is empty, so you can stick a passport photo on the printed card, or leave it plain.
