How to Print a Judges Assignment Report for Your Event

Before a judged event starts, everyone asks the same thing: who is judging what, and where? eTalenter now has a Judges Assignment Report that answers it on one printable sheet. It lists every judge, the competitions they are assigned, the stage each one is on, and whether the judge has finished scoring it. You can print it, save it as a PDF, or give each judge their own page. This guide shows where to find it, how to read it and how to set it up. The screenshots show a sample event with made-up judges and competitions.

What the report shows

  • Summary: four tiles with the number of judges, competitions, assignments, and competitions that have no judge yet.
  • Judges Overview: one row per judge with the stages they work on, how many competitions they have, how many are filled, how many are pending, and a progress bar.
  • Detailed Assignments by Judge: for each judge, a table of their competitions with the category (age group), the stage and the filling status: Allowed to fill, Filled or Published.

The report only reads your data. You change who judges what on Assign Judges, and where a competition is held on the Schedule. The report always shows the current picture. On a phone it works the same way, and the tables scroll sideways inside the sheet if they are wider than the screen.

Step 1: Check the assignments first

Open Judging & Scoring → Assign Judges. If you have not assigned the judges yet, follow how to assign and replace judges first. On the By Judge tab, the Print button (marker 1) at the top right opens the report. Two small additions also help you check the plan before you print: under each judge’s name the list now shows the stages that judge works on (marker 2), and each competition card shows the stage it is scheduled on (marker 3). The stage comes from the Schedule. It is shown here to help you, and you do not set it on this page.

You can also open the report from the Print tab in the left menu: Print Participants → Judges Assignment.

Step 2: Open the report page

The report page has the same layout as the other print pages, so the controls will feel familiar. The options bar at the top (marker 1) has the columns, the parts of the sheet to show, the colour theme and the letterhead choices. The left side (marker 2) has the filters, the list of judges and the page and style options. The sheet itself (marker 3) is a live preview of what will be printed. Print (marker 4) opens your browser’s print dialog, and Download (marker 5) saves the sheet as a PDF. Refresh loads the latest assignments, which is useful if a co-organiser changed them while the page was open.

Step 3: Read the summary and the overview

The four tiles (marker 1) always count the whole event. Unassigned is the number to watch before the event: it is how many competitions still have no judge. The Judges Overview table (marker 2) shows each judge’s load at a glance. Filled counts competitions whose score sheet is Filled or Published, and Pending counts the ones still Allowed to fill. The progress bar is Filled out of Assigned, so on the day of the event you can print it again and see who has finished.

Step 4: Give each judge their own page

The Page Break option in the left pane works like it does on the other print pages. Choose New Page per Judge and every judge starts on a new page. Each of those pages repeats the event header and the report title (marker 1) above the judge’s name and competitions (marker 2), so you can hand every judge their own sheet. The summary and overview stay on the first page. Choose No Break if you want one continuous sheet for the organising team.

Step 5: Choose who and what to print

The left pane lets you narrow the judge tables. Tick one or more Stages (marker 1), Groups (marker 2) or Competitions (marker 3), and use Filling Status (marker 4) to list only the competitions that are, for example, still Allowed to fill. These filters only narrow the judge tables; the summary tiles still count the whole event. Under the filters, untick a judge to leave them out, and use Order Judges By to put the judge with the most competitions first.

Further down are the page options. Paper size and Orientation (marker 5) offer A4, A3, A5 and Letter, in portrait or landscape. The style options below them are the same as on the other print pages: font, font size, padding, text alignment and wrapping, Page Break (marker 6) and Additional Column Count, which adds blank columns with names you choose, such as Remarks or Signature.

In the options bar at the top, tick which columns appear, hide any of the three parts of the sheet (Summary, Judges Overview, Detailed Assignments by Judge), and choose the colour theme. Colorful is the look in the screenshots. Normal is black and grey, which suits a plain printer.

Your choices for columns, theme, paper, style and the visible parts are remembered for the event, so the next time you open the report it looks the same. The judges you tick and the filters are not remembered, because they follow whoever is on the event that day.

What the report does not do

  • It does not change anything. Assignments are changed on Assign Judges and stages on the Schedule.
  • It does not number the pages (for example “Page 1 of 6”).
  • It shows the judge’s score status, not the scores themselves. For scores, see the Judge’s Scores and Score Sheets print pages.

Frequently asked questions

How do I print a list of all judges and their competitions in eTalenter?

Open Assign Judges and press Print, or open the Print tab and choose Print Participants, then Judges Assignment. Press Print on the report page, or Download to save a PDF.

Can each judge get their own page?

Yes. Set Page Break to New Page per Judge. Every judge starts on a new page with the event header repeated.

Where does the stage in the report come from?

From the Schedule. A competition shows the stage it is scheduled on, and a competition that is not scheduled yet shows no stage.

Can I print only one stage or one age group?

Yes. Tick the stage or the group in the left pane. The judge tables then list only those competitions.
