How to Assign and Replace Judges

Judges are the people whose scores decide the results, so getting the right judges on the right competitions matters, and changing a judge in the middle of an event needs care. eTalenter has one page for this, Assign Judges, which you can work from two directions: pick a judge and tick their competitions, or pick a competition and tick its judges. This guide shows both, how to invite the judges first, and what to check when you replace a judge. Screenshots are from the read-only live demo.

Step 1: Invite the judges

A judge must exist in the event before you can assign them. Open Users & Roles → Invite Judges. The page lists the judges you have, with their name, email and organisation. Use Add New User (marker 3) to invite one judge, Import Users (marker 1) to bring in several at once, or Add Yourself as Judge (marker 2) if you will score too. The list of judges is marker 4.

Step 2: Assign by judge

Open Judging & Scoring → Assign Judges. The page is called Judges Allotment and shows how many judges the event has. On the By Judge tab (marker 1) pick a judge in the list (marker 2); each judge shows how many competitions they have. The right side reads “1 of 51 assigned — tick a competition to assign or unassign” (marker 3). Use the All, Assigned and Not assigned buttons (marker 4) to filter, and tick the competitions you want (marker 5). Competitions are grouped by age group. This direction is quickest when one judge covers many competitions.

Step 3: Assign by competition

Switch to the By Competition tab (marker 1) and pick a competition (marker 2). The right side lists the judges and says, for example, “2 of 4 assigned — tick a judge to assign or untick to unassign”. Tick the judges you want. Each assigned judge shows a status: Allowed to fill (the judge can still enter scores; marker 4) or Filled (the judge has finished scoring this competition; marker 3). The button beside the status moves it on: Mark as Filled, Mark as Published, or Reopen for filling. Judges who are not assigned are listed below (marker 5). This direction is quickest when you build a panel for one competition.

Replacing a judge in the middle of an event

Open the competition on the By Competition tab, tick the new judge and untick the old one. Before you do, look at the old judge’s status:

  • Allowed to fill: the judge has not finished, so you can swap judges now.
  • Filled: the judge has already entered scores. Decide first whether those scores should count. If they should not, reset the competition (see how to reset competition results safely) so the new judge scores it from the start.
