How to Fix Wrong Church, District and Zone for Candidates

In a competition with levels such as District, Sub-District and School, every candidate and every team belongs to one unit at each level. Over time these can drift apart. A candidate is entered by hand with the wrong District, a School is moved under a new Sub-District, or a level is left empty. The result is a candidate whose School sits under one Sub-District while their record says another. Reports by District or Sub-District then show the wrong numbers. Fix Levels in eTalenter finds these candidates and corrects them in one step. The same button is on the Manage Teams page for teams.

What Fix Levels does

Your event levels form a tree. Each School sits under one Sub-District, and each Sub-District sits under one District. Fix Levels uses that tree as the truth.

  1. It looks at every candidate (or every team, on the Manage Teams page) in your event and finds the lowest level they have, for example their School.
  2. It checks the parent of that School. That parent is the Sub-District. The parent of the Sub-District is the District.
  3. If any level does not match, or is empty, it appears in a list with the old value crossed out and the correct value next to it.
  4. You tick the rows you want to fix and press the Fix button. Only the levels that were wrong are changed.

Levels that sit side by side, such as a House and a Class under the same School, never change each other. Only real parents are used.

How to use it, on web and on mobile

  1. Sign in as the Coordinator and open Manage Candidates or Manage Teams.
  2. Open the page actions menu and choose Fix Levels. The same menu is on the page on a laptop and on a phone.
  3. Wait a moment while eTalenter checks every row. The window tells you how many were checked.
  4. Read the list. Each row shows the name, each level that will change, and which level it is based on. All rows are ticked at the start. Untick any you want to leave alone.
  5. Press Fix. The list updates and shows what is left.

The check runs again every time you open the window. It always shows the current state of your event, so you can run it again after you change your organizations.

Rows that need your attention

Sometimes eTalenter cannot decide. For example, a candidate’s School and Class may sit under two different Schools. These rows are listed separately under Needs attention with the reason. They are never changed automatically. Open the candidate or team, choose the correct levels, and save.

Before you start

  • Check that each organization is under the right parent. Fix Levels trusts your organization tree, so a School under the wrong Sub-District will move candidates to the wrong Sub-District.
  • The Fix Levels button shows only for the Coordinator, only when your event has at least two levels for candidates, and not when the event is locked for editing.

What Fix Levels does not do

  • It does not change the lowest level a candidate or team has. That level is the starting point.
  • It does not change your organizations or their parents.
  • It does not touch candidates or teams that have no level at all.
  • It does not change age groups. Use Fix Age Groups in the same menu on Manage Candidates for that, and read how to set up age groups and houses to plan your structure.
