Exporting Competition Results and Data to Excel

Once results are in, someone always needs the data out of the app — for a committee meeting, a sponsor report, a printed record book, or just a backup. If your competition platform only lets you view data on screen, you end up retyping chest numbers, scores and unit totals into a spreadsheet by hand on the night of the event. eTalenter builds Excel and CSV export into the same report screen coordinators already use to print, so the data you see on screen is the data you take away — no retyping.

Where export lives: the Print Data (Report Builder) screen

Every list a coordinator prints — participants by unit, participants by competition, judges’ scorecards, membership-wise candidate lists — runs through one report builder screen. It’s not a fixed report layout: you choose which columns to show, group rows by unit, age group, competition or judge, apply filters, and save the combination as a view you can reopen later. Whatever you’ve built on screen is exactly what exports.

From that same screen you can:

  • Export to Excel (.xlsx) — a real workbook, not a flat screenshot: group headers stay bold and indented, column widths auto-size, and a separate “Info” sheet records what report it was, when it was generated, and how many rows it covers.
  • Export to CSV — a flat, one-row-per-record file for anyone who wants to pull the data into another tool (a sponsor’s own spreadsheet, a mail-merge, a scoreboard feed).
  • Print or save as PDF — the same grouped, styled layout, sized to your paper (A4, A3, A5 or Letter), for a record book or a wall notice instead of a spreadsheet.

What you can export

Because export runs off the same report engine as every print screen, it covers whatever list a coordinator can build, including:

  • Participant lists — by unit/house, by age group, by competition, with chest numbers, names and registration details.
  • Membership-wise lists — useful where club or church membership affects fees or awards.
  • Judges’ scorecards — a sheet per judge or a combined view, for an audit trail alongside the live tabulation.
  • Results and rankings — grouped by age group or competition, with scores, grades and placings, once results are finalised in the Review & Assign Winners step.

You can also add blank “Additional Columns” (annotation columns) to a report before exporting — handy for a sign-in sheet or a column the committee fills in by hand after export, without needing a new field in the system itself.

Why export alongside live results, not instead of them

Export is a snapshot, not a live feed. The live tabulation, the public results board and the Token System stay correct in real time as scores come in; a spreadsheet you downloaded an hour ago is frozen at that moment. Treat Excel/CSV export as what it’s for — committee records, sponsor reports, offline backups, printed books — and keep judging, scoring and the public-facing result publish inside the platform itself, where they update live.

FAQ

Do I need a different plan or add-on to export data?
No — Excel and CSV export are part of the same reports screen every coordinator already uses to print lists and scorecards.

Can I export just one age group or one competition instead of everything?
Yes — apply a filter (by unit, age group, competition or judge) before exporting; the file only contains what’s currently filtered and grouped on screen.

Can sub-coordinators export data too, or only the main coordinator?
Export follows the same access as the report screen itself, so a sub-coordinator sees and exports only the lists their role is scoped to, same as printing.
