Add boys, girls and language versions of a competition

Many competitions need more than one version: one for boys, one for girls, and sometimes one for each language. The Competition Structure page now has two new tabs, By Competition and By Group, that let you add those versions with a tick. Pick a competition (or an age group) on the left, and on the right tick the versions you need. A tick makes a copy of a version that already exists, so you do not type the score, the time limit and the fees again. It works on a phone as well as on a laptop.

This page is about adding gender and language versions of a competition. Related ground has its own pages:

What a “version” is

In eTalenter, a competition is set up for an age group, and it can be limited by gender (Male, Female or Both) and by language. Each combination is one version. For example, Solo Song for Juniors can have a Male · English version and a Female · English version, each with its own list of participants and its own results.

Two ways to look at the same list

  • By Competition — the competitions are on the left. Pick Solo Song and the right side lists every age group, each with its versions to tick. Use this when you are thinking about one competition across all age groups.
  • By Group — the age groups are on the left. Pick Juniors and the right side lists every competition for that group. Use this when you are thinking about one age group at a time.

Both tabs show the same data as the List View and the Matrix View, so a version added in one place appears in all of them. The versions belong to one participant type, so these tabs always work on Individual or Team. If the page was on All, it switches to Individual by itself; use the Team tab for team competitions. Age groups that are set for the other participant type are left out, and the page tells you how many.

Tick a version to add it

Each age group (or competition) on the right has three cards: Male, Female and Both. A ticked card is a version that already exists, and it shows its maximum score, time limit and fees. An empty card shows what will happen when you tick it.

  • The age group already has this competition. Tick the card and eTalenter makes a copy of the existing version for the new gender or language. The copy keeps the maximum score, the time and warning limits, the fees, the remarks and the participant limits. It starts as Not started, even if the version it came from was already finished.
  • It is the first version. There is nothing to copy, so a short form opens. It asks for the maximum score, the time limit, the warning time, the fees and the remarks. The gender and language you ticked are filled in already.

To remove a version, untick it. You are asked to confirm first. Only a coordinator can remove a version; a draw master can add versions but not remove them.

Pick one language or several

Above the cards there is a Language bar. You can switch on more than one language at the same time, and each language you picked gets its own row of Male, Female and Both cards. When you open a competition (or an age group), every language it already has versions in is selected for you, so nothing that exists is hidden. A competition with no versions yet opens on English.

The bar shows English, the languages already in use and the ones you have selected, each with the number of versions it already has. Tap a language to switch it off or on; one language always stays selected. To add a language that is not on the bar, tap More and choose it from the list. The list holds many languages, so it is a drop-down rather than a row of buttons. Tap Fewer to close it.

On a phone

The two tabs fit a phone screen. Tap a competition (or an age group) in the list and its versions open as a full-screen panel with a back arrow. The language buttons, the language list and the tick cards are sized for a thumb. Every card has its own tick, and a card that is being saved dims until it is done, so a double tap does not add a version twice. The filters above the cards (All, Added, Not added) and the search box help when an age group has many competitions.

Set it up in five steps

  1. Open Assign Competitions in the menu and choose the Individual or Team tab (the page picks Individual for you if it was on All).
  2. Choose By Competition or By Group.
  3. Pick an item on the left.
  4. Check the languages on the bar. The ones already in use are selected for you; tap More to add another.
  5. Tick the versions you need. Fill in the form when it opens for a first version.

New versions are added without an order number. Use Fix Order in the page menu once you have finished ticking to put the whole list in order.

What it does not do

  • Change an existing version. A tick only adds a new one. To change a score or a time limit, edit it in the List View.
  • Copy draw, scoring, schedule or custom-field settings. Those belong to one competition run, so a new version starts without them.
  • Add every combination in one tap. You tick the versions you want. For a big batch across many groups and items, Bulk Create in the page menu is still the faster tool.

Questions organisers ask

Which version is copied if the group already has several?

If one exists in the language of the card you tick, that one is copied. Otherwise the first version of that competition for the age group is used.

Can I add a version that is for both boys and girls?

Yes. Both is the third card. It is the version with no gender limit.

What if the version I tick already exists?

It shows as ticked, so you cannot add it twice. Each combination of participant type, age group, competition, gender and language can exist only once.
