How to Run School Kalolsavam Results Online: A Step-by-Step Guide with eTalenter

Results day at a school kalolsavam is busy. Judges hand in mark sheets. Teachers add up marks by hand. Someone works out the A, B and C grades. House captains keep asking for the points table, and parents wait at the notice board. One small adding mistake can change a winner.

This guide shows how to do all of this in eTalenter, an online platform for running arts and sports competitions. We follow the results from the judges’ marks to the printed certificate, and we explain every results page on the way: what it is for, what each button does, and the mistakes to avoid.

Every screenshot comes from a public demo event: a school kalotsavam with four houses (Yellow, Green, Blue and Red), LP, UP and HS age groups, and stage and off-stage items. All the names in it are made up. You can open the same event yourself, read-only, and click along: v2.etalenter.com/v2/Public/LiveDemo → Kalotsavam → Open demo as Coordinator.

Before you start

Results come at the end of the event, so a few things must already be in place. Each one has its own guide in this series:

  • The event is set up: age groups or categories (for example LP, UP, HS and HSS, or Category I to IV), competition items assigned to each group, and event levels such as School → House.
  • Candidates and teams are registered and have their chest numbers.
  • Judges are invited to the event.

If you are not sure what is missing, open Competition Flow Guide in the menu. It shows the whole competition path in 7 phases, from event setup to certificates, with a link to each page. Most of its steps also explain why a competition may not appear on a page yet.

How a competition moves from the stage to the results

Every competition in eTalenter has a status. Knowing the order answers the most common question: “Why can’t I see this competition on this page?”

A competition can also be Cancelled. Once a competition has moved past Not Started, it cannot go back to Not Started.

Step 1: Set the grades and points (Scoring Setup)

Menu: Event Setup → Groups & Competitions → Scoring Setup

This page decides how marks turn into grades and points, so set it up before judging starts. It has four tabs:

  • Rank: bonus points for First, Second and Third. You can give different points for individual and group items, or for one age group or one competition.
  • Grade: grade bands. Each grade has a minimum percentage and its bonus points.
  • Judges Rating Criteria: the points judges mark against, for example voice, expression or costume. Each criterion can have its own maximum marks. You can only add criteria to competitions scored as “Marks” or “Rating out of 10”. Use Import from another event to copy criteria from an event you ran before.
  • Participation Points: flat points for simply taking part.

For a Kerala school kalolsavam, the manual (clause 1.05) gives the grades: A grade for 80% and above earns 5 points, B grade for 70 to 79% earns 3 points, and C grade for 60 to 69% earns 1 point. Below 60% gets no grade. At the state level, first, second and third places were replaced by grades, but school and sub-district rounds still announce places. eTalenter’s ready-made Kerala kalolsavam template installs these grades for you. It also adds rank points of 5, 3 and 1 for individual items and 10, 5 and 3 for group items. Change them if your school uses different points.

Useful tools on this page:

  • Bulk Add with Values creates the same ranks or grades for many age groups and competitions at once.
  • Bulk Disable switches off ranks or grades you don’t use.
  • The page warns you if a lower place gets more points than a higher one.
  • Never give a grade a value of 0%. That stops grade matching from working. Use Bulk Disable instead.

Step 2: Give each judge their competitions (Assign Judges)

Menu: Judging & Scoring → Assign Judges

A judge can only score the competitions assigned to them. This page has two views:

  • By Judge: pick a judge, then tick the competitions they will judge.
  • By Competition: pick a competition, then tick its judges.

To give one judge many competitions quickly, click Select, tick the competitions (or Select all), then click Assign (N). Each assignment also shows the judge’s score status: Allowed to fill, Filled or Published. Click the badge to change it.

Two things to check here:

  • The judge must be added to the event first. The Invite Judges button takes you to the page for that.
  • Set each competition’s maximum score on the Assign Competitions page. If it is missing, scoring for that competition stops at 10.

Some judges prefer paper. Print Participants → Score Sheets prints a blank sheet for each judge and each competition, with the criteria and space to write marks. You can then type the marks in yourself, as explained in the next step.

Step 3: Enter the marks (Judge Scoring)

Menu: Judging & Scoring → Judge Scoring. A judge who logs in sees it as the Judge Panel.

This is where marks are actually entered. It works on a laptop and on a phone, so judges can score from their seats.

Other controls on this page:

  • Hide Score / Reveal Score blurs the marks on screen, which helps when others can see the laptop.
  • Allow Score Above Maximum lets a mark go over the competition’s usual maximum.
  • Coordinators see two tabs: Open For Scoring, and Locked – View Only for competitions that are On Review or published.

Three pages under Judging & Scoring help you check what the judges entered:

  • View Scores lists every mark with the judge, the participant, the time, the grade, the bonus points and the final calculated score. Filter by competition, judge, candidate ID or team ID. If a judge made a mistake, delete the mark here (one row, or many at once) and the judge enters it again. You cannot edit marks on this page.
  • Criteria Breakdown shows the mark for each criterion behind a judge’s total. It is read-only.
  • Score History is a searchable log of all scoring, by judge, candidate ID, team ID or score. It is read-only. Click Filter to load it.

Competition Status (top of the menu) is a board for a stage screen or projector. It shows one card per stage with the candidate performing now, the ones already finished and the ones coming next. It refreshes every 60 seconds and switches to full screen. The performer is changed from the Token System page, which has its own guide in this series.

Step 4: See where every competition stands (Result Dashboard)

Menu: Manage Results → Result Dashboard

This is your control room on results day. The cards at the top count Total Competitions, In Progress, Completed and Published Results. Below them:

  • Tabs for each age group, and for each status with a count (Not Started, Yet To Begin, On Progress, Finished, On Review, and so on).
  • A search box for competition name, category, age group or stage, and a Show only published results switch.
  • For each competition: its category, age group, stage, number of judges, whether results are published, and a progress bar.
  • A competition with no judges is shown in red. It cannot move forward until you assign judges.
  • Click a competition to see each judge’s progress and change a judge’s status. Change Status moves the competition on, and Assign Winners appears once it is Finished or On Review.

Step 5: Decide the winners (Assign Winners)

Menu: Manage Results → Assign Winners

On the left, competitions are listed by status and age group, with a search box and a category filter. Pick one, and the right side shows every participant in score order with the number of judges who scored them.

  • Generate Rank 1 & 2 or Generate Rank 1 – 3 gives the top places by score and publishes the result.
  • Or choose each participant’s place yourself with Select Rank.
  • Change Status moves the competition between all six statuses.
  • Open Score Details to see the TieBreak Score, Total Calculated Points, Total Actual Points and Total Bonus Points.
  • Open Show judges to see each judge’s marks, remarks and criteria.

Before you publish, look for a highlighted judge count. It means that participant was scored by fewer judges than the others in the same competition, which usually means a missing mark.

Ranks can only be given when a competition is On Progress, Finished or On Review. An On Review competition is hidden from Judge Scoring on purpose, so if a judge needs to score again, set it back to On Progress here. Sports items that have no judges use Assign Results Manually instead, where you choose the places directly.

Step 6: Check and print the results sheets

Menu: Publish Results → Print

  • All Results prints the result sheet for one competition, or several on one sheet. Choose from 20 columns, including Rank, Chest No., Name, Grade, Grade %, Total Marks, Average Marks, Rank Points, Grade Points, Total Points, TieBreak Points and each judge’s marks. The Problematic Judge column flags a judge whose marks are very different from the others. If a competition is not published yet, the page asks “Yes, the competition has finished! Generate ranks automatically”. Switch the organisation logo, event logo and event name on or off, then print or download a PDF.
  • Judge’s Scores prints one judge’s marks for one competition, criterion by criterion, which is handy for the judge’s signature. It can also mark that judge’s scores as published.
  • Candidate Results shows one table for each age group, with candidates in rows and competitions in columns. A coloured F, S or T badge marks each first, second and third place, and each row shows the candidate’s house and class. Class teachers and house captains find this very useful. Export it to PDF.

Step 7: Publish the results (Publish Online)

Menu: Publish Results → Publish → Publish Online

This is the main results sheet. It has three tabs:

  • Overall Championship: the champion house by points, with each house’s rank points and total points. You can also show a championship for class or division.
  • Individual Champions: the candidates with the most points across all their competitions.
  • Group Wise Results: every competition’s results by age group, which you can filter by house, class or division.

Click Settings to set things up:

  • Top Count: how many places to show for each competition or house.
  • Results Filter By: Rank + Grade, Rank Only, or also rows with no rank or grade. For grade-based results, use Rank + Grade so that grades show as well as places.
  • Overall Championship Levels: which levels get a championship table (for example House, Class and Division).
  • Top Champions Order: rank individual champions by Points, Gender & Points, or Group & Points.
  • Show Team Members, Hide ID Number, font size and results per row.
  • Show Marquee: a scrolling announcement above the results, useful on a big screen.

Then use Publish Online, Print, or Export to Excel / PDF. Each competition card also has Share as post and Print this competition. After you publish once, a Share menu sends the results link by WhatsApp, Facebook and other apps.

The same results engine gives four more sheets. Only the sections they show are different:

  • Podium Results: each competition’s first, second and third on a podium, plus the championship and individual champions.
  • Individual Results: only the per-competition results.
  • Publish With Awards: the championship, your special awards and the per-competition results.
  • Calculate Awards: only the winner of each special award (for example best dancer), with a minimum-points rule. You need to set up the award rules for the event first.

Step 8: Give parents a public results page (Public Event Pages)

Menu: Publish Results → Publish → Public Event Pages

Parents and students do not need a login to see results. Switch on Public Event Pages and your event gets its own web address, built from the event name. The page shows the competitions, participant counts, stages and live status. It works well on phones.

Good to know:

  • The event name must be different from every other active event, because the address is built from it.
  • Event data is exported again every day while the switch is on, and at any time with Export now.
  • Published results do not update on their own. After changing a result, click Publish again.
  • Unpublish removes the results but keeps the page. Remove public documents removes everything.

Step 9: Announce the winners on stage (Result Presentation and Live Results)

Menu: Publish Results → Publish → Result Presentation

Connect a projector or TV, click Full Screen, and reveal the results one by one. The page has five tabs:

  • Podium Results: each competition’s winners on a podium.
  • Row Wise Results: the same results as banner rows.
  • Individual Champions: the top candidates in each group, ranked by points.
  • Overall Championship: the champion house. This tab needs a level below the top one, such as House.
  • Award Presentation: your special awards, if the event has them.

Announce Winner reveals the next result with a drumroll and confetti. Next Competition moves on, Start Over replays the current tab, and the chips at the bottom jump straight to a competition.

Live Results, at the top of the menu, is a simpler full-screen podium. Click the trophy button or press the right arrow key to reveal the next place, and use the arrow buttons to move between competitions. It shows only competitions with published top-3 results.

Step 10: Share the results on WhatsApp and social media

Menu: Publish Results → Publish → Social Media

This page makes ready-to-share image posts. It has three tabs:

  • Competition Winners: one post for each published competition, with the layout Podium, Rows, Cards or Portrait Card.
  • Individual Champions: posts of the top candidates by points.
  • Overall Championship: the top three houses.

Pick a look and a background, then click Share, Save image, or Save all to download every post at once. Use the filters to make posts for one age group, one competition or one level. Your designs are saved as profiles automatically, so there is no Save button. The older Social Media (Classic) page is still available too, and makes a winner card for one competition at a time.

If a winner’s photo is missing or wrong, open Winner Photos. Upload a photo for each winner (under 10 MB), crop it, and it appears on the social media posts and the published results.

Step 11: Print certificates and trophy stickers

Menu: Certificates & Awards

  • Rank Certificates: one certificate for each first, second and third place in the competitions you tick. Set Include grade to Yes to also print certificates for A-grade winners who got no place.
  • Champion Certificate: certificates for the top individual champions, using the same ranking as the results sheet. Candidates with equal points share the same place.
  • Participation Certificates: one certificate for every candidate or team in an age group, listing the competitions they took part in. You can filter by house, by individual or team, or by chest numbers.

All three work the same way. Pick a look and a background, click any part of the certificate to change its style, and write the text as one sentence or as a list. For rank and champion certificates, choose A3 portrait (two per sheet) or A4 landscape. Then click Print or Download for a PDF.

For trophies, go to Publish Results → Print → Trophy Stickers for group and team winners, or Individual Stickers for individual winners. Set how many stickers fit on a row and a page, then print the sheet. Allow Grade Without Ranks adds participants who got a grade but no place.

Common questions

Can judges enter marks on their phones?
Yes. The Judge Panel works on a phone, as the screenshot above shows.

A judge entered a wrong mark. What now?
While the competition is open, the judge can change it on Judge Scoring with Update Score. You can also delete the mark on View Scores so the judge can enter it again.

A competition has disappeared from Judge Scoring.
It is probably On Review. Set it back to On Progress on Assign Winners.

Parents still see the old results.
The public page does not update by itself. Open Public Event Pages and click Publish again.

The Overall Championship tab is missing on Result Presentation.
It needs an event level below the top one, such as House.
